Overview

The mission of Helio Health, Inc. is: To promote recovery from the effects of substance use and mental health disorders and other health issues. The Patient Access Manager will oversee several Patient Access Team Leaders and manage the patient access process, ensuring efficient and effective patient registration and financial information collection across outpatient, residential and inpatient programs. This is a key role in ensuring a positive patient experience and smooth operations within our organization.

 

In addition to Helio Health’s comprehensive benefits package, this position is eligible for a Sign-On incentive up to $1,500!

 

Pay Rate: $80,000.00 - $87,000.00

Responsibilities

  • Travel to designated locations within the organization's network to oversee and manage patient access functions, ensuring compliance with organizational policies and procedures.
  • Provide leadership and guidance to the patient access team leads and their direct reports.
  • Develop and implement standardized processes and workflows to streamline patient access operations across multiple locations.
  • Ensure accurate and timely registration of patients, including the collection and verification of demographic and insurance information.
  • Collaborate with clinical and administrative staff to coordinate patient admissions.
  • Monitor and manage the client financial process, including insurance verification, first step of pre-authorization, and identification of patient financial responsibilities.
  • Ensure compliance with regulatory requirements and maintain up-to-date knowledge of industry changes and best practices related to patient access and behavioral health.
  • Implement quality improvement initiatives to enhance patient access services and maximize patient satisfaction.
  • Provide training and education to staff on patient access processes, insurance protocols, and customer service best practices.
  • Establish and maintain effective relationships with external stakeholders, such as insurance providers and referring organizations, to facilitate efficient patient access and collaboration.
  • Attend training as required to keep abreast of Medicaid changes and attend annual in-services (fire, safety)
  • Maintain confidentiality/privacy as it relates to client services and information.
  • Attend agency in-service programs when scheduled.
  • Other duties as assigned.

 

Qualifications

  • Associate's degree in healthcare administration, business administration, or a related field required. Bachelor’s degree preferred.
  • Minimum of 3-5 years of progressive experience in patient access or healthcare administration, with a focus on behavioral health.
  • 1-2 years of related supervisory experience.
  • Willingness and ability to travel extensively within the organization's network as required.
  • Proven experience in managing and leading a team in a fast-paced, multi-location environment.

  • In-depth knowledge of behavioral health operations, including admissions processes, insurance verification, and revenue cycle management.

  • Proficiency in using electronic health record (EHR) systems and patient access software.

  • Excellent understanding of Medicaid and Third-party claim procedures for both paper-based and electronic claims.

  • Strong understanding of healthcare regulations, including HIPAA and insurance requirements specific to behavioral health services.

  • Exceptional communication and interpersonal skills to collaborate with internal and external partners.

  • Strong computer skills including Microsoft Word, Outlook, and Excel.

  • Must be independent, motivated and demonstrate excellent decision-making.

  • Must be able to work in a dynamic and fast paced work environment and perform under pressure.
